What is lead distribution software?

Lead distribution software is an application that automatically distributes incoming leads to recipients according to defined rules: to buyers, partner companies, franchise locations or in-house sales teams. The rules take account of criteria such as postcode, radius, vertical, daily and total quota, price and delivery window. It is used by lead generators, portals, networks and agencies that deliver leads to many recipients and need speed, fairness and traceability while doing so.

The term comes from the lead trade and is used internationally. "Automated lead distribution", "lead delivery" and "lead allocation" describe the same thing. The category should be distinguished from lead routing for in-house sales teams, which only assigns leads to your own staff, and from CRM systems, which manage leads but do not move them between companies.

Typical building blocks are a rule set for matching, orders with quotas per recipient, the choice between exclusive and multi-sale, distribution models such as round-robin, priority or ping-post, and delivery channels such as portal, email, webhook, API and CRM integration.

Core features

The features that belong to lead distribution software

Rule-based order matching

Every lead is automatically matched to the right buyer by priority and fairness. Orders define which verticals, regions and volumes a recipient receives.

Geo-targeting

Distribution by kilometre radius, postcodes and postcode ranges, states or counties, custom territories, nationwide or across borders. Orders can be configured for one or several countries.

Quotas, delivery windows, pauses

Daily limits and total volumes per order with automatic stop, delivery windows by weekday and time of day, holiday and pause periods with automatic resumption.

Exclusive and multi-sale

Sell leads exclusively to one recipient or to several, with a controllable delay between sales. Ping-post offers leads anonymously and hands the data only to the winner.

Delivery across every channel

Delivery via portal, email, webhook, REST API and direct CRM integrations. If a delivery fails, the system retries the transfer automatically and notifies you.

Real-time delivery reports

Delivery reports, order performance and source analysis show which recipient received how many leads. Every action on a lead or order is logged with a timestamp.

Lead distribution software Distribute leads by rule to external buyers, partners or in-house teams, including quotas and delivery. When many leads go to many recipients and region, volume, price and time determine the match. Core function of Leadnodes, complemented by validation before and billing after.
Lead routing for sales teams Assign incoming enquiries to your own sales reps, often with appointment booking and round-robin. When every recipient sits inside your own company and no leads are sold. Leadnodes also covers assignment to in-house teams; prices and billing then simply go unused.
CRM system Manage contacts, activities and pipeline for your own sales team. When leads are worked and followed up after they have arrived with the recipient. Target system of distribution. Leadnodes hands leads to Salesforce, HubSpot, Bitrix24, Monday and others via integration.
Marketing automation Nurture leads by email and SMS until they are sales-ready. When leads are to be nurtured rather than passed on. Can sit before or after distribution. Leadnodes connects platforms such as KlickTipp, Brevo or Superchat.
Integration platform (Zapier, Make, n8n) Connect any systems through workflows. When a single data flow without rules, quotas or billing is enough. Integration partners. Leadnodes offers ready-made connections to Zapier, Make and n8n.
Selection criteria

What to look for in lead distribution software

Distribution criteria in sufficient depth

Check whether the software can distribute by radius, postcode ranges, verticals, quotas, price and delivery window at the same time. A rule that knows only one of these is rarely enough in practice.

Exclusive, multi-sale and ping-post

Your business model decides whether a lead goes to one recipient or several. The software should handle both and offer ping-post as a data-minimising method.

Validation before distribution

Only what has been checked gets distributed. Duplicates, invalid phone numbers and blocked contacts must be caught before a recipient pays for them and files a complaint.

Delivery channels of your recipients

Buyers work in portals, CRMs, dialers and their own systems. Count the channels you need: portal, email, webhook, API, ready-made integrations.

Billing in the same system

Anyone who sells leads needs prices per lead type, invoices or prepaid credit, complaints and credit notes. If billing sits in a different system, reconciliation errors follow.

Traceability

When a lead is disputed, the log is what counts: when it arrived, which rule applied, who received it, when it was delivered. Every action should be stored with timestamp and actor.

Tenants, roles, white label

If several clients or brands run on one platform, you need data separation per system, role-based permissions and optionally an interface under your own brand.

Data protection and hosting

Leads are personal data. Clarify the hosting location, data processing agreement, consent tracking and whether suppliers see anonymised data only.

FAQ

Frequently asked questions about Lead Distribution Software

Answers for companies selecting or replacing lead software.

Both terms describe the rule-based assignment of leads. Lead routing is mostly used for assigning leads to your own sales reps, lead distribution for distributing leads to external buyers, partners and locations, often with prices and quotas. Leadnodes covers both cases, because orders can be created for buyers as well as for in-house teams.

Yes, that is a core function of the category. In Leadnodes, each lead type defines whether a lead goes exclusively to one recipient or to several. With multi-sale, the delay between sales can be controlled. Ping-post adds a method where buyers see anonymous key data and only the winner receives the full record.

Validation and order matching run in real time. A lead that arrives via API or webhook is checked, matched and delivered through the chosen channel within seconds, provided the recipient's delivery window is open. Outside the window, the lead waits until delivery is allowed again.

That depends on who works the leads. If you distribute leads to external buyers, they work in their own systems, and Leadnodes delivers there via portal, email, webhook or integration. If your own sales team works the leads, a CRM as the target system makes sense. Leadnodes connects Salesforce, HubSpot, Bitrix24, Monday and others directly.

If no order applies, for example because the territory is not covered or all quotas are reached, the lead stays in the system and is visible in dashboards and notifications. You can adjust orders, assign the lead manually or redistribute it with a bulk action. Automations can also alert you when quotas are reached or deliveries fail.
