Rule-based automation engine
If-then rules built on trigger, condition and action, with no programming. Rules react to new leads, validation results, tags or updates, run in a defined order, and every execution is logged per lead.
Lead routing software decides by rule and in real time which buyer, partner, location or team receives a lead. You define trigger, condition and action without writing code, geo-targeting, quotas and delivery windows steer the match, and delivery runs via webhook, REST API or CRM integration. Leadnodes combines automated lead routing with validation before and billing after.
Over 100 platforms run on Leadnodes
Lead routing software is an application that forwards incoming leads automatically to the right recipient according to defined rules: to buyers, partner companies, franchise locations, sales teams or call centres. The rules check attributes such as postcode, radius, vertical, quota, delivery window and priority and trigger delivery in real time. It is used by networks, lead generators and sales organisations that need to route leads quickly, fairly and traceably.
The term comes from sales, where it originally described assigning enquiries to individual reps. In lead trading and partner networks it is now used more broadly: routing leads means moving them by rule between companies, locations and systems. Related terms are "automated lead routing", "lead assignment" and "criteria-based routing". The category is distinct from simple assignment rules inside a CRM and from dialers, which distribute calls rather than leads.
Typical building blocks are a rule engine based on trigger, condition and action, order matching with priority and fairness, geo-targeting by radius and postcode, quotas and delivery windows per recipient, distribution models such as round-robin, priority, bidding or ping-post, and delivery channels such as webhook, REST API and CRM integration with automatic retries on failure.
Head offices that route enquiries to regional partners or locations. Geo-targeting, quotas and fairness rules make sure every partner receives the leads from its own territory that it can actually handle.

LeadDesk integrationLead routing appears in several tool classes that solve different problems. The table shows what each class is built for and how it relates to Leadnodes.
| Tool class | Focus | When it fits | Relation to Leadnodes |
|---|---|---|---|
| Lead routing software | Route leads by rule and in real time to buyers, partners, locations and teams, including quotas, geo-targeting and delivery. | When leads move between companies or locations and region, volume, time and priority decide the match. | Core function of Leadnodes, extended by validation before and billing after. |
| Sales routing tools for internal sales teams | Assign incoming enquiries to your own sales reps, often with round-robin and appointment booking, usually as part of a sales engagement or scheduling suite. | When every recipient works inside your own company and neither prices nor external buyers play a role. | Leadnodes covers assignment to internal teams as well; prices, quotas and billing then remain optional. |
| CRM assignment rules | Simple rules inside the CRM that assign new records to a user in turn or by field value. | When leads already sit in the CRM and only need to be distributed internally to staff. | Target system of the routing. Leadnodes hands leads to Salesforce, HubSpot, Bitrix24, Monday, GoHighLevel and others via integration. |
| Integration platform (Zapier, Make, n8n) | Connect any systems through workflows and pass data along. | When a single data flow without quotas, fairness rules or billing is enough. | Integration partner. Leadnodes offers ready-made connections to Zapier, Make and n8n. |
| Call centre dialers and ACD | Distribute calls and campaigns to agents, control dialling modes and call handling. | When distribution happens on the phone and the lead already sits in the dialer. | Target system. Leadnodes routes the lead and hands it directly to LeadDesk or Dialfire. |
Check whether triggers, conditions and actions can be created and changed in the portal. If every new rule needs code, the routing falls out of date faster than sales can wait.
Radius, postcode ranges, vertical, quota, delivery window and priority have to apply at the same time. A rule that only knows one attribute rarely covers a real network.
Round-robin, priority, bidding and ping-post serve different business models. What matters is an automatic fallback, so a lead that is rejected or not accepted goes to the next recipient.
Seconds should pass between intake and delivery, not hours. When a delivery fails, the software has to retry automatically, raise an alert and allow reprocessing.
Leads arrive via REST API or webhook and leave via webhook, API retrieval or CRM integration. A connection test before go-live saves troubleshooting later.
Only validated leads should be routed. Duplicate checks, invalid phone numbers, blacklists and origin checks belong before order matching, otherwise the recipient pays for unusable leads.
Daily limits, total volumes, delivery windows and pauses with automatic resumption keep the workload fair. If buyers can maintain quotas in their own portal, your team is relieved of that work.
Every rule execution and every delivery should be traceable with timestamp and actor. Also clarify hosting location, data processing agreement and consent tracking, because leads are personal data.

Read comparisonRouting starts with the order. Every recipient has one or more orders that define vertical, territory, daily and total quota, delivery window, priority and delivery channel. When a lead arrives via REST API, webhook, form or import, it first passes validation: duplicate check, phone and email verification, blacklists and geo/IP check. Only a validated lead enters order matching, which assigns it to the right order by priority and fairness.
If several orders match, the chosen distribution model decides: in turn via round-robin, by fixed priority, by bid, or via ping-post, where buyers first see anonymous key data and only the winner receives the full record. If a recipient declines or does not respond in time, the automatic fallback takes over. Delivery runs via webhook, REST API, email, portal or one of the ready-made CRM and call centre integrations. If it fails, Leadnodes retries automatically and reports the incident.
Alongside the orders, the automation engine controls what happens around the routing. Rules follow the principle of trigger, condition and action: a new lead, a failed quality check, a complaint or a tag can trigger a rule that applies only to matching lead attributes and then changes status, releases leads with a delay, fires webhooks, starts a CRM export or sends emails and text messages. Several actions per rule and a configurable order map complete workflows.
All rules are created and changed in the portal, without developers. Every execution is logged per lead with its result, so in a dispute you can see which rule applied and when. Buyers can set up quotas and prepaid credit themselves in the buyer portal, so capacity changes do not have to go through your team.
Leadnodes works internationally: orders can be configured for one or several countries, tax rates, time zones and phone and date formats follow the target market, and the interface is available in English and German. Hosting is in Germany, with a data processing agreement, GDPR-compliant consent tracking, a multi-tenant architecture and the option to mask personal data in supplier views.

Answers for companies selecting or replacing lead software.
Both terms describe the rule-based assignment of leads. Lead routing is mostly used for assigning leads to your own sales reps, lead distribution for delivering them to external buyers, partners and locations, often with prices and quotas. Leadnodes covers both cases, because orders can be created for buyers as well as for internal teams.
Yes, in both directions. Leads are submitted via REST API or webhook, pass validation and order matching, and are pushed to any system via webhook export or retrieved via the REST API, filtered and paginated. Leadnodes provides API token management and a connection test, so you can verify the lead routing API integration before leads start flowing.
If the transfer to a webhook, CRM or dialer fails, Leadnodes retries automatically and sends an alert by email or webhook. The lead is not lost: you see its state in the log and can reprocess or redistribute affected leads with a bulk action.
Yes. Orders with territory, quota, delivery window and priority, as well as the if-then rules of the automation engine, are created and changed in the Leadnodes portal without any programming. Every rule execution is logged per lead, so changes remain traceable.
Common models are round-robin for even distribution, fixed priorities for preferred recipients, bidding for price competition, and ping-post, where buyers first see anonymous key data. In Leadnodes these models are available per lead type, combined with exclusive or multi-sale and an automatic fallback if the first recipient does not accept.
