Intake from every source
Leads arrive via REST API, webhook, lead form with opt-in, CSV or Excel import, from the partner network or by manual entry. Individual lead types define their own data fields, field groups and validation rules per category.
Lead management software accepts leads from forms, campaigns, partners and imports, validates them, distributes them by rule to buyers, partners or sales teams and bills them. Every step runs in the same system, with one record per lead and one log entry per action. Leadnodes covers this chain from intake to monitoring as a lead management platform that works internationally and is hosted in Germany.
Over 100 platforms run on Leadnodes
Lead management software is an application that handles the entire journey of a lead in one system: intake from forms, campaigns, partners and files, validation of the data, automation of follow-up steps, distribution to buyers, partners or internal teams, plus billing and monitoring. It replaces the chain of inbox, spreadsheet and single-purpose tools with one continuous process and one record per lead. It is used by lead generators, portals, broker networks, agencies and sales organisations that move many leads from many sources to many recipients.
The term comes from the marketing and sales world and is used internationally; "lead management platform" and "lead management system" describe the same thing. The category should be distinguished from a CRM system, which manages the contacts and pipeline of your own sales team, and from lead generation tools, which create leads but do not process them further. Lead management software sits in between: it takes leads over from generation and hands them to the target system validated, assigned and billed.
Typical building blocks are intake channels such as API, webhook, form and CSV import, a configurable set of checks for duplicates, phone numbers and email addresses, an automation engine for follow-up steps, a rule set for distribution with quotas and delivery channels, billing with prices, commissions and complaints, and dashboards and logs for monitoring.
Companies that generate leads through landing pages, campaigns or comparison portals and deliver them to buyers. They need the whole process: intake, validation, distribution, billing and complaints, without spreadsheets between the steps.
Sell leads with LeadnodesPools, alliances and head offices that pass enquiries to affiliated brokers or advisers. Lead types per vertical, geo-targeting and quotas per partner keep the assignment traceable, and billing runs alongside automatically.
Insurance industryAgencies that run lead campaigns for several clients and manage, deliver and bill the results separately. Multi-tenant architecture and white label keep every client in its own system.
White-label platformCompanies that validate purchased and self-generated leads centrally and distribute them to teams, locations or dialers. After assignment, Leadnodes hands the leads to the CRM or call centre system where sales carries on working.
Integrations for CRM and call centresThe term is used for very different tools. The table shows what each class is aimed at and how it relates to Leadnodes.
| Tool class | Focus | When it fits | Relation to Leadnodes |
|---|---|---|---|
| Lead management software | Run the whole lead process, from intake through validation, automation and distribution to billing, in one system. | When leads come from several sources and have to be validated, distributed and billed, with every step traceable. | The category Leadnodes belongs to: one record per lead, one log entry per action, from intake to monitoring. |
| CRM system | Manage the pipeline, contacts and activities of your own sales team. | When leads are worked and followed up after they have reached the responsible sales rep. | Target system. Leadnodes hands validated and assigned leads to Salesforce, HubSpot, Pipedrive, Bitrix24, Monday and others via integration. |
| Marketing automation | Nurture leads by email and SMS until they are ready for sales. | When leads should be nurtured over time rather than distributed straight away. | Can sit before or after Leadnodes. Ready-made connections to KlickTipp, Brevo and Superchat hand leads into segments and campaigns. |
| Spreadsheets and Excel | Capture, assign and reconcile leads manually in lists. | When a few leads from one source go to one recipient and no billing is needed. | A common starting point. It lacks rules, duplicate checks, delivery and billing; Leadnodes takes over existing lists via CSV or Excel import. |
| Lead generation tools | Create leads: forms, landing pages, ad platforms, chatbots. | When the task is generating leads, not processing them afterwards. | Sources. Leadnodes accepts their leads via webhook, API or form; validation and forwarding happen in the system. |
Count your intake channels: forms, ad platforms, partners, files. The software should cover API, webhook, forms with opt-in and CSV import, and allow separate data fields per lead category.
Duplicates, phone numbers, email addresses, blacklists and origin should be checked before a lead moves on. What matters is that each check can be switched on and off per lead type or supplier.
Follow-up steps such as status changes, releases, notifications or exports should be expressible as rules your team maintains itself. Every run must be traceable per lead.
Region, vertical, quota, delivery window and priority have to apply at the same time. Also check whether exclusive and shared assignment, and internal and external recipients, are possible within the same rule set.
Recipients work in portals, CRMs, dialers and their own systems. The software should offer portal, email, webhook, API and ready-made integrations, and retry failed transfers automatically.
Anyone selling or recharging leads needs prices per lead type, invoice or prepaid, commissions, a complaint process and automatic credit notes. If billing sits elsewhere, reconciliation errors follow.
Dashboards by source, order and campaign, notifications on events and a complete log with timestamp and actor. When a lead is disputed, the log decides.
With several clients or brands you need data separation per system, role-based permissions and optionally your own brand. Clarify hosting location, data processing agreement, consent tracking and the masking of personal data.
Guide: choosing lead distribution software, 12 platforms at a glance
Every comparison puts the features side by side in nine areas, states only what the vendor describes publicly and links the sources.
According to the vendor, Lead Hero combines its own funnel builder with a matching algorithm, automated selling and invoicing. Leadnodes connects existing funnels via API and webhook and focuses on validation, distribution and billing at a fixed volume-based price.

Leadnodes distributes, sells and bills leads to several buyers, with validation, geo-targeting and a returns workflow.
Read comparison Industry CRM · GermanyAccording to the vendor, LEVETO is a CRM with industry editions that takes leads through to quote, installation planning and invoice. Leadnodes ends with the paid handover of the lead to the buyer and delivers it into the buyer's CRM.
Read comparisonA lead arrives in Leadnodes via API, webhook, form or import and is assigned to its lead type. The lead type defines which fields are mandatory, which checks run and at what price the lead is billed later. Validation then applies: duplicate check, phone and email verification, address matching, blacklists and origin check, optionally a review workflow with manual approval or scheduled auto-release. Automations react to the result, for instance with a status change, a notification or a delayed release.
Only a validated lead enters order matching, which assigns it to the right order by priority and fairness: a buyer, a partner or an internal team. Delivery runs via portal, email, webhook, REST API or one of the ready-made CRM and call centre integrations. If delivery fails, the system retries the transfer automatically and reports the incident.
Because every step runs in the same system, there is one record per lead and one log entry per action, with timestamp and actor. With delivery the lead is billed: as an invoice line or against prepaid credit, while supplier commissions are calculated in parallel. Buyers set up quotas and prepaid credit themselves in the buyer portal. If a buyer complains, a structured process with reasons, deadlines and objection follows, and an accepted complaint corrects quota and billing automatically.
Dashboards show deliveries, order performance, and revenue and profit per source and campaign. Notifications by email or webhook report new leads, complaints, low credit, reached quotas or delivery problems. For sales, Leadnodes hands leads with flexible field mapping to Salesforce, HubSpot, Bitrix24, Monday, GoHighLevel or dialers such as LeadDesk and Dialfire.
Leadnodes works internationally: orders can be configured for one or several countries, tax rates, time zones and phone and date formats follow the target market, and the interface is available in German and English. Multi-tenant architecture, role-based permissions, team sub-accounts and optionally enforced two-factor authentication secure access. Hosting is in Germany, with a data processing agreement, GDPR-compliant consent tracking and the option to mask personal data in supplier views.
All Leadnodes features in eight areas, from intake to security.

Answers for companies selecting or replacing lead software.
It is rarely an either-or question. A CRM manages the pipeline and activities of your own sales team once a lead has reached the responsible rep. Lead management software covers the part before that: intake from many sources, validation, distribution to buyers, partners or teams, and billing. Leadnodes hands validated leads to Salesforce, HubSpot, Pipedrive, Bitrix24 or Monday via integration, so the two systems complement each other.
For a few leads from one source going to one recipient, a spreadsheet can be enough. As soon as several sources, several recipients, duplicates, delivery windows or billing come into play, it lacks rules, automatic delivery and a log. Leadnodes takes over existing lists via CSV or Excel import with column mapping and data cleansing, so you can switch without re-entering anything.
At least six building blocks: intake via API, webhook, form and import, validation with duplicate, phone and email checks, automation of follow-up steps, rule-based distribution with quotas and delivery channels, billing with prices, complaints and credit notes, and monitoring with dashboards and a log. In Leadnodes these blocks are organised into eight feature areas, complemented by export, CRM sync and security.
Yes. In Leadnodes every lead type has its own data fields, field groups and validation rules, for example different mandatory fields for solar enquiries than for insurance enquiries. The checks can also be activated individually per lead type or supplier, and AI-assisted data normalisation maps incoming data onto your field structure.
Yes. Buyers log in to the buyer portal, set up quotas and prepaid credit themselves and see their leads, invoices and account statements. Suppliers see their submissions and commissions, with personal data masked if you wish. With white label, the portal runs under your own domain and brand.
45 minutes, no obligation: we walk through your sources, checks, recipients and billing and show how the process maps onto one system.
