Quick answer: You create lead tags under Settings > Lead Tags. Use Tag availability to define, per tag, in which areas it is offered: Admin (your team), User (your buyers) and Outreach (contacts and campaigns). Without a selection, a tag is available everywhere.
Detailed guide
Tags let you label leads and Outreach contacts in order to filter them, use them in automations and Smart Flows, or use them as a target audience for campaigns. Since not every tag makes sense in every area, you can restrict each tag to one or more areas. This way, your buyers don't see your team's internal tags, for example.
The three areas
- Admin: Tags that your team assigns in the lead overview, in the lead details, in the call centre, in automations, in Smart Flows and via the API.
- User: Tags that your buyers assign to their purchased leads and by which they can filter their lead list.
- Outreach: Tags for Outreach contacts. Every Outreach tag is also a target audience for campaigns and is offered for contacts, during import and in campaigns.
How to create a tag
- Navigate to Settings > Lead Tags.
- Click Add tag.
- Enter the tag name.
- Under Available in, select the desired areas (Admin, User, Outreach). If you leave all checkboxes empty, the tag is available in all areas.
- Click Add tag.
How to change the availability of an existing tag
- Find the tag in the list using the search field.
- In the tag's row, click the gear icon Tag availability.
- Tick or untick the checkboxes for the areas and click Save.
The Available in column always shows whether a tag is offered in All areas or only in specific areas.
Further frequently asked questions
Why can't I see a tag in the lead details menu or for a buyer?
The tag is probably restricted to other areas. Check the Available in column under Settings > Lead Tags and add the missing area via Tag availability. Tags outside their area can neither be added nor removed.
What happens to tags that have already been assigned if I restrict availability?
Existing assignments are retained. The tag is simply no longer offered for selection in the excluded areas and can no longer be removed there. If you want to edit the tag there again, add the area back.
Can I create tags directly in the Outreach area?
Yes. For contacts, during import, in campaigns and under Target audiences, you can enter new tags directly. These are automatically assigned to the Outreach area. If a tag with the same name already exists but is restricted to other areas, the Outreach area is added to it.
Which tags are offered when I convert leads into Outreach contacts?
Only tags with the Outreach area. Tags that are only enabled for Admin or User are not carried over when transferring to Outreach.
Which area applies to tags set via the API?
Tags created via the API are given the Admin area. You can then adjust the area under Settings > Lead Tags.
What happens when a tag is deleted?
The tag is removed from all leads and contacts that carry it. This action cannot be undone. If you only want to hide the tag in specific areas, restrict its availability instead.
