Short answer: In the order overview, open the reverse search of an order. There you can see all already-sold multi-sale leads that still match the order and that the buyer has not yet received. You can assign these to the order individually or in bulk.
Detailed guide
The reverse search turns the usual matching around: instead of looking for matching orders for a new lead, you look for matching leads for an existing order that have already been sold to other buyers. This lets you sell free caps of multi-sale leads specifically to a buyer whose order has not yet been fully delivered.
Requirements
- At least one lead type in your system is configured as multi-sale. Without multi-sale lead types, the function is not displayed.
- The order contains at least one multi-sale lead type.
How to use the reverse search
- Navigate to Orders.
- In the row of the desired order, click the Reverse search of sold leads icon (next to the edit icon).
- At the top you can see the selected order with buyer, price, delivery status and status.
- Below that, the list Matching sold leads appears. For each lead you can see the lead type, contact details, age, the date and, in the Sold column, how often the lead has already been sold (e.g. 2 / 3).
- For a single lead, click Assign to order and confirm the dialog.
- For several leads, tick the checkboxes (or select all via the checkbox in the table header) and click Assign X selected. Confirm the dialog.
- After assignment, the list is updated automatically. Assigned leads disappear from the list and the delivery status of the order increases.
You can run the search again at any time with Refresh.
Further frequently asked questions
Which leads are shown in the reverse search?
Only leads that meet all of the following conditions:
- The lead type is multi-sale and belongs to the order.
- The lead has already been sold at least once (status “assigned”) and is not exclusive.
- The maximum number of sales for the lead type has not yet been reached.
- There is no complaint for the lead.
- The buyer of the order has not yet received this lead.
- The lead matches all filters of the order (region, postcode, radius, custom filters, time window, etc.).
Why can’t I see the reverse search icon?
The icon only appears if at least one lead type in your system is configured as multi-sale. Check the settings of your lead types.
Why is a specific lead not found?
For performance reasons, the search only checks the 100 most recent candidates. Older leads are not considered. In addition, the lead may fail one of the order’s filters, may have been sold exclusively, may already have reached the maximum number of sales or may already have been delivered to this buyer.
What exactly happens on assignment?
The lead is sold again: a copy of the lead is assigned to the buyer of the order and billed as with a normal sale. The assignment is logged in the lead history as a manual assignment via reverse search. The process cannot be undone. If necessary, use the regular complaint process.
What does the error message “Not assigned” mean in bulk assignment?
Individual leads could not be assigned, e.g. because they have reached the maximum number of sales in the meantime or the buyer has already received them. All other selected leads are still assigned. The message lists the affected lead IDs.
Can I also use this to assign leads that have never been sold?
No. The reverse search only shows leads that have already been sold. You assign new, as yet unsold leads as usual via the lead details or automatic matching.
